Key Responsibilities

  1. Manage office operations, supplies, and equipment to ensure a well-functioning workspace.
  2. Handle correspondence, emails, and phone calls, and assist in scheduling meetings and appointments.
  3. Maintain and organize company documents, records, and databases.
  4. Staff On-board/Off-board process: collect and register new staff information and access request, arrange seating plan, check with staffs and IT to have correct working environment, laptop setup, …
  5. Staff’s business trip arrangement: responsible for handling and managing travel requests from projects. Manage, control, and track the travels. Check and follow up with relevant stakeholders to make the trip happen (trip information, visa, logistics, accommodation, financial process).
  6. Assist in financial administration, including payment request, invoice, expense tracking, and budget management.
  7. Liaise with external vendors, service providers, and stakeholders.
  8. Coordinate internal events, client visits, training sessions, and company activities.
  9. Ensure compliance with company policies and procedures.
  10. Prepare reports/tracking for management review
  11. Perform other administrative duties as required to support business operations.

Requirements

  1. Bachelor’s degree in Hospitality Management Business Administration, Management, or a related field
  2. 1-2 years of proven experience in an administrative or office management role, preferably in a tech environment.
  3. Strong organizational and multitasking skills with attention to detail.
  4. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and other office management tools.
  5. Excellent communication and interpersonal skills.
  6. Ability to work independently and in a team-oriented environment.
  7. Problem-solving mindset with a proactive approach.
  8. Familiarity with HR and finance-related administrative tasks is a plus.
